Student Officers

Vietnam Health Clinic (VHC) is led by a group of dynamic individuals who serve as Student Officers. Our seven Student Officers oversee the training and preparation of student members, help coordinate and run the mobile health clinic, and develop any other opportunities to support communities in need. Student Officer applications for the 2024-2025 term

will open on March 25, 2024 and close on April 12, 2024.

External Operations Officer:​

The External Operations Officer is responsible for establishing, maintaining, and strengthening relationships with organizations and healthcare professionals in Vietnam. Current relationships include but are not limited to ASSORV, Da Nang Eye Hospital, Vietnam National University, etc. 

  • Prepare agenda and coordinate meetings between VHC and partner organizations in Vietnam

  • Act as liaison between officers and partner organizations in Vietnam

  • Coordinate relevant external mobile health clinic logistics with partner organizations in Vietnam, including but not limited to: accommodations, transportation, clinic locations, patient load, daily meals, excursions, etc. 

  • Be the primary point of contact to address questions or concerns from and/or related to partner organizations in Vietnam

 

Internal Operations Officer

The Internal Operations Officer is responsible for establishing, maintaining, and strengthening relationships with organizations in the United States. Current relationships include University of Washington, Washington State University, Vietnam Scholarship Foundation, Tet in Seattle, etc

  • Prepare content and coordinate meetings between VHC and partner organizations in the US

  • Act as liaison between team of officers and partner organizations in the US

  • Seek and attend various social networking events.

  • Be the primary point of contact to address questions or concerns from and/or related to partner organizations in the US

Development Officer

The Development Officer is responsible for managing all VHC fundraising, donations, and financial transactions throughout the year. 

  • Oversee all bank account activities and maintenance, including but limited to:

    • Making all deposits and withdrawals

    • Maintain record of all accounts and transactions

    • Maintain folder of scanned receipts of purchases throughout the year

    • Maintain detailed list of reimbursement for other leaders on VHC spending and write reimbursement checks when needed

    • Working with officers to maintain annual budget

  • Coordinate and provide financial oversight in all VHC fundraisers

  • Generate financial reports and spreadsheets for all fundraisers, VHC operational costs, and Vietnam costs for student volunteers throughout the year

  • Coordinate with officers to purchase all trip necessities for volunteers, including plane tickets, tourist visas, hotels, meals, transportation, and travel insurance.

  • Be the primary point of contact for student volunteers to address questions or concerns from and/or related to donations, finance, fundraisers, etc. 

Administrative Officer

The Administrative Officer is responsible for the overall management, productivity and efficiency of VHC operations as it relates to officers and members to ensure smooth day-to-day functionality.

  • Oversee all VHC officer and member meetings, projects and events

  • Ensure all VHC calendars are up to date

  • Planning, conducting, and concluding VHC officer and member general meetings

  • Take accurate notes and meeting minutes during officer and general meetings and distribute approved minutes to individuals who were not present

  • Maintain updated list of tasks delegated to all officers, members and volunteers; conduct follow-up on progress

  • Maintains all records and documents, both physical and digital, related to VHC including but are not limited officers/members/advisors/HPs contracts, immunizations, dietary needs, customs entry, VISAs, passports, clinic site approvals, and inventory

  • Be the primary point of contact to address questions or concerns from and/or related to meetings, records, contracts, etc.

  • Compose weekly or bi-weekly summary to update board of directors and advisors on current activities.

Membership Officer

The Membership Officer is responsible for recruiting, retaining and engaging VHC student members and volunteers to help ensure that the organization has competent, trained and passionate people to help fulfill its service mission. 

  • Serve as primary contact for members/volunteers and is responsible for addressing the concerns and needs of members/volunteers

  • Inform members/volunteers of upcoming events including general meetings, fundraisers, and all other VHC-related functions

  • Serve as liaison between members/volunteers and officers/board and communicate with team about any possible problems or concerns 

  • Plan and coordinate activities to engage, train, and retain members/volunteers

  • Review volunteer submissions monthly and reach out when an opportunity comes up that fits their interests and schedule

  • Manage all membership and volunteer data, including but not limited to: updating and maintaining records, pulling volunteer submissions, tracking engagement

  • Be the primary point of contact to address questions or concerns from and/or related to student members and volunteers 

  • Email weekly meeting updates at least three days before an anticipated meeting.

Public Relations Officer

The Public Relations Officer is responsible for the development of VHC’s communication strategy to help promote, enhance and protect the organization’s brand reputation. The goal is to advance the organization, drive more awareness and donor support for VHC.

  • Maintain and create content for the VHC’s print and digital assets, including but not limited to: social media accounts (Instagram, Twitter, Facebook, Youtube, etc.), website, blog, newsletter, marketing materials, etc.

  • Serve as VHC’s communications counselor to advise on how to communicate and engage stakeholders appropriately

  • Draft key messages for all VHC general correspondence by working with officers and the board

  • Serve as VHC’s spokesperson in public & private events with the community, donors/sponsors, healthcare professionals and media

  • Maintain correspondence with donors and sponsors

  • Develop sponsorship packages, recruit and maintain relationships with sponsors

  • Be the primary point of contact to address questions or concerns from and/or related to the overall mission of VHC, marketing, sponsors, donors, branding, etc.

Healthcare Professionals Relations Officer

The Healthcare Professionals Relations Officer serves as the main contact and liaison for HPs and as such, will be responsible for communicating all mobile health clinic logistics related to HPs, including but not limited to the following:

  • Coordinate the recruitment process of healthcare providers for clinical presentations, mock clinic, HP social events, training sessions and mobile clinic in Vietnam

  • Create, update and maintain healthcare professional communication manual 

  • Communicate with all healthcare professionals throughout the year concerning traveling and overall clinic logistics 

  • Manage and track all healthcare professional contact information to include and update our HP rolodex 

  • Serve as the primary point of contact for all healthcare professionals while in Vietnam during mobile health clinic to address all traveling, lodging and itinerary questions or concerns
